Write estimates and quotes line by line

An estimate lists the work as line items with quantity, unit price and tax. A note holds the scope, terms and how long the offer is valid, and one discount in percent applies to the whole document. Currency and language come from the client, and Buezli numbers each estimate in sequence.

  • Set one tax rate and override it on single lines.
  • Your logo, address and VAT number appear on the PDF.
  • Duplicate an earlier estimate to start the next one.

Clients accept or decline online

Send the estimate by email or share its secure link. Your client reads it in the browser, downloads the PDF if needed and accepts or declines with one click. The decision and its date are saved on the estimate.

  • You see when the client opened the estimate.
  • When a client answers by email or phone, record the decision yourself.
  • Reopen an accepted or declined estimate when the plans change.

From accepted quote to invoice draft

Once an estimate is accepted, turn it into an invoice draft. The draft takes over the lines, tax, discount and note, and you change what's different before sending it. The estimate stays as it was, a record of what you agreed on.

  • For fixed-fee work, the accepted estimate becomes the invoice.
  • Each estimate converts to one invoice, so it can't be billed twice.

Questions and answers

What's the difference between an estimate and a quote?

In everyday use there is hardly any. Both describe the work and its price before it starts. Buezli calls the document an estimate, and your client sees it named in their own document language.

How do clients accept an estimate?

They open the secure link from your email and click accept or decline. No account or login is needed on their side. If they reply another way, you record the decision in Buezli.

Can I turn a quote into an invoice?

Yes. An accepted estimate becomes an invoice draft with the same lines, tax and discount. You can edit the draft before sending it, and the estimate itself stays unchanged.

Can I give a discount on an estimate?

Yes, as one percentage on the whole estimate. Discounts on individual lines aren't available.

Which currencies and languages can estimates use?

Estimates can be in CHF, EUR or USD and in German, English, French or Italian. They follow the currency and document language set for each client.

Does the estimate software cost extra?

No. Estimates are part of the one plan at CHF 99 per active user per year, together with time tracking and invoicing. You can try it for 30 days without a credit card.
