How to use the quote template

  1. 1

    Choose a format

Word is easiest for longer descriptions and layout changes, Excel suits you if you calculate prices in cells. The PDF is for printing and filling in by hand.

    Add your details once

Replace the placeholders with your name, address and VAT number, add your logo and save the file as your master copy.

  3. 3

Make a copy for every quote. Enter the number, the date, your client, the line items and the validity period, then check the total.

  4. 4

    Send it and follow up

Save the quote as a PDF and send it. When the client accepts, keep the confirmation and use the same items for the invoice.

Questions and answers

Is the quote template free?

Yes. Download it without an account and use it for your own business as often as you like.

Can I use it as an estimate template?

Yes. The layout works for quotes and estimates alike. Change the title and state in the notes whether your figures are a fixed price or an estimate that can change.

How long should a quote be valid?

As long as you write on it. Many businesses choose 14 to 30 days, so prices and availability don't stay open indefinitely.

Should I use Word or Excel?

Both contain the same fields. Word is easier for longer descriptions, Excel suits you if you prefer working with numbers in cells. Send either one as a PDF.

Is there a faster way than a template?

Yes. The free quote generator on this site calculates the totals and creates the PDF in your browser, without an account.
