What goes on a timesheet

A timesheet shows a client or your team where the hours went. This template records work per project and task and isn't meant as a legal record of employees' working hours.

Name and week
Who did the work and which week the sheet covers.
Client
The client the hours are for, so the sheet can go straight into the invoice.
Date, project and task
One line per piece of work, with the day it happened, the project and the task.
Hours
The duration, written as 1.5 or 1:30. Pick one format and stick to it.
Total hours
The sum for the week, checked against the lines above it.
Confirmation
A signature or a short confirmation from the client or your manager, if your agreement asks for one.

How to use the timesheet template

  1. 1

    Pick Excel or PDF

Use Excel to fill it in on screen and keep a file per week. Print the PDF if you prefer to write by hand.

  2. 2

Fill in name, week and client

Start each week with a fresh copy and enter the header once.

  3. 3

    Record your hours every day

Add a line for each piece of work with date, project, task and hours. Entering hours daily is far more accurate than reconstructing a week from memory.

  4. 4

    Add up and send

Total the hours, have them confirmed if needed and send the sheet to your client with the invoice or to whoever approves it.

Questions and answers

Is the timesheet template free?

Yes. Download it without an account and use it as often as you like, for yourself or your team.

Should I use the Excel or the PDF timesheet?

Excel is easier if you fill it in on your computer and want to keep a file per week. The PDF suits you if you'd rather write by hand and scan the sheet afterwards.

Can I use it to record employees' working hours?

It isn't designed for that. The template records hours per project and task. Some countries require employers to record start and end times and breaks, which needs a separate record.

Should I write hours as decimals or in hours and minutes?

Either works as long as you stay consistent. Decimal hours such as 1.5 are easier to add up and multiply by an hourly rate.

Can I send the timesheet with my invoice?

Yes. Many clients like to see which work the invoiced hours cover. Attach the timesheet or list the hours on the invoice itself.
