Organize clients and work
Clients, projects and tasks
Clients, projects and tasks connect operational work to billing. A clean foundation means fewer corrections when it is time to invoice.
01
Clients and contacts
A client stores its billing address, currency, and optional document language. Contacts add names, email addresses, roles and telephone numbers.
- When creating a client, you can optionally add its first contact in the same form. Leave every contact field blank to save only the client.
- When delivering a document, choose a contact with an email address as the recipient.
- The client page brings together contacts, projects, estimates and invoices for that client.
02
Projects and billing
Projects belong to a client and use Time & Materials, Fixed Fee or Non-billable economics. Rates can come exactly from the project, task or person, while hour, task, cost and fee budgets can run for the project lifetime or reset monthly.
- Time & Materials projects take the selected project, task or person rate without fallback. Fixed-fee time supports utilization but does not generate fee revenue; invoice the fee in partial project-attributed lines.
- Open a project to compare cumulative progress with a lifetime hours budget, review weekly hours in 26-week periods, and see tracked time, costs, invoiced work and remaining budget together.
- Assign tasks and users, then mark billable tasks and project managers.
- Select multiple projects to archive or restore them together. You can extend a full-page selection to every project matching the active filters.
03
Tasks and archiving
Tasks describe kinds of work such as development or consulting. They can carry a default rate and default billability, and they can be marked as common tasks.
- New workspaces include a few common tasks in the selected language. Common tasks are added automatically to new projects. Edit, archive or replace them with tasks that match your work.
- Select common or non-common tasks to archive, restore or permanently delete unused tasks in bulk.
- Archived clients, contacts, projects, or tasks disappear from new selections but stay on historical records. Archived contacts can be restored from the client page.
- Restore archived projects and tasks from their filtered archive view.
